Old.St Labs (Old Street Labs) designs and develops cutting-edge, bespoke technology products for international clients — from startup mobile apps to AI-driven web platforms. We’re now looking to expand our team with a dependable, detail-oriented VA who can keep our internal operations running smoothly and help the team stay aligned.

About the Role 

The right candidate will take ownership of operational “hygiene” across the business: organising information, keeping calendars and task lists current, maintaining spreadsheets, and ensuring weekly reporting happens without needing to be chased. You’ll work closely with leadership and the delivery team, helping to keep priorities visible and processes consistent.

This role suits someone who is confident with spreadsheets and enjoys turning messy information into clear, usable systems.

Duties and Responsibilities

• Maintain schedules, trackers, and internal “single source of truth” documents (Google Sheets / Excel)
• Build and maintain KPI trackers and simple dashboards (charts, pivots, summaries)
• Consolidate data from multiple sources (emails, forms, exports, notes) into clean reports
• Support leadership with calendar management, meeting scheduling, agendas, and action notes
• Keep task lists updated (e.g., Jira/Notion/ClickUp/Trello — depending on what the team uses)
• Follow up on action items and deadlines with internal team members (politely but firmly)
• Create and maintain SOPs/checklists for recurring processes
• General admin support: document formatting, light research, and coordination as needed

Skills / Qualifications

• 1–3 years experience as a Virtual Assistant, Executive Assistant, Operations Assistant, or similar role
• Strong spreadsheet skills (Google Sheets and/or Excel): formulas, pivots, filters, data validation, basic charts
• Excellent written and spoken English communication skills
• Highly organised, detail-oriented, and dependable — follows through without reminders
• Comfortable working with minimal supervision and making sensible decisions independently
• Confident handling sensitive business information with discretion
• Helpful but not essential): familiarity with Jira, Notion, ClickUp, Trello, Slack; basic understanding of KPIs/operations reporting

Location:
Work from Home (strong internet connection and reliable laptop required)

Working hours / Job Type:
Mid shift to overlap with UK working hours (3:00 pm - 12:00 mn PHT); with a flexible shift on Fridays

Duties and Responsibilities:

• Building, managing and maintaining the back-ends of web / mobile applications, taking on front-end responsibilities if required
• Working in an Agile team, working with Jira to manage progress and estimate features
• Writing technical documentation where needed
• Writing reusable, testable, and efficient code
• Integration of user-facing elements developed by front-end developers with server side logic
• Implementation of security and data protection

Skills / Qualifications:

• You must be a true “digital native” – tech should be a way of life, not just a career
• Bachelor’s degree in CS or STEM from a top university is helpful
• Up to 1 year of software development experience
• Good knowledge of at least one framework in either Java, Python or Node.js is a big plus
• HTML, CSS and JavaScript skills
• Self-managing and able to work with minimal supervision
• Excellent English communication skills both written and oral
